E-Mail Frequently Asked Questions

When I attempt to send e-mail out, I receive the following error messages: "your intended recipient is not in our list of rcp hosts" or "no transport provider."

This error message is typically indicative of the outgoing mail server not recognizing your IP address. When sending mail, be sure to check for new mail at least 15 minutes before you try to send; when you do this, your IP address is added to the list of allowed senders. This list expires every 20 minutes, after which time you will need to check for new mail before you try to send again.

My e-mail program is prompting me for the username and password, but I am certain it is correct.

The most common mistake is that you are not entering the username correctly. Make certain your settings match the examples below (note: you can replace "microlinq.com" with your domain):

incoming mail server : mail.microlinq.com
outgoing mail server : your ISP's SMTP server name, or mail.microlinq.com
(note: We recomend that you use your ISP's outgoing mail server, however you do have the option to use ours.
account name : username (if you do not know your username contact microlinq support for assistance)
password : password (if you do not know your password contact microlinq support for assistance)


When I send email the email does not get sent and is sitting in my outbox.

If you are using MICROLINQ for your Outgoing mail (SMTP) server then the server is using what is called user authentication to verify that you are an authorized user to send email through the server. To authenticate you will need to hit the Send/Receive button in your mail client. You may have to do this several times for the server to authenticate. It is always a good idea to hit Send/Receive once as soon as you open up you mail client.

Can I forward to multiple e-mail addresses?

At this time, you cannot forward to multiple e-mail addresses. Our forward feature will only allow you to forward to one single e-mail at this time.

My mail domain receives a lot of junk e-mail, Spam or UCE.

Your domain name is public record and therefore you will receive junk e-mail. We currently run junk e-mail filtering software on our mail servers, but we cannot catch all junk e-mail. We highly recommend that you follow these four recommendations:
  1. never answer junk e-mail
  2. never unsubscribe to junk e-mail (this only validates your address)
  3. never buy anything from junk e-mailers
  4. keep your e-mail address and domain name off of "mailing lists."

The greatest deterrent to junk e-mail is the delete key on your keyboard. Deleting junk e-mail saves time, effort, and resources. It will also reduce the future amount because junk mailers never hear from you again. You can also use services like http://www.spamcop.net

Does MICROLINQ offer web based e-mail?

Yes, MICROLINQ offers this service free of charge. You can access your web based email by going to the MICROLINQ home page and clicking on the envelope in the top righ hand corner. From there simply follow the instrictions.

Can I check my e-mail from any connection to the net?

Yes, you do not have to be dialed directly into MICROLINQ or related services to check your e-mail. You can check your e-mail from your laptop, friend's house or work by inputting the settings in any mail program, or by utilizing our web based mail.

My ISP does not allow any Mail Relaying outside of their own mail servers. I can't use my outbound mail server. Error message is "relaying denied"

Some IPS's do not allow any outbound mail that does not originate from their servers. If your ISP follows this protocol, simply use their outbound mail server as your SMTP server. You will need to contact your ISP for this information. If you use your ISP's outbound server, you need to make certain your "e-mail address" and "reply-to" address both include your domain e-mail address. Your recipients will not be able to decipher the difference.

Can I send out mass e-mail with my mail server?

MICROLINQ has a zero stance policy on Spam, junk e-mail, and UCE. It is a direct violation of your user agreement and you will be removed from the servers for abuse. In saying this, if you have a targeted audience or if you have a registered e-mail list, you may send as many e-mails as you want. At the first complaint, you will be notified. If we receive numerous complaints in a short amount of time, your mail server will be deactivated and you will be contacted by someone in technical support for clarification.

I am receiving a "TCP/IP socket error"

This usually means that your connection to the internet has dropped or is not responding. You will need to disconnect and reconnect if you are using a modem. You may also need to reboot your PC to reset your modem or network connection if it is not responding.

My connection just freezes for a long time or tells me that "there is an open process."

This means that your mail is hung in a process or you have a file that your e-mail program and/or connection is not capable of downloading due to size. You will need to contact technical support at 972.867.4576 or for resolution.

What do SMTP, POP, Mail Relay, Mail client and MX record stand for?

SMTP = Simple Mail Transfer Protocol
The standard e-mail protocol on the Internet. It is a TCP/IP protocol that defines the message format and the message transfer agent (MTA), which stores and forwards the mail. SMTP was originally designed for only ASCII text, but MIME and other encoding methods enable program and multimedia files to be attached to e-mail messages.
SMTP servers route SMTP messages throughout the Internet to a mail server, such as POP3 or IMAP4, which provides a message store for incoming mail.

POP = Post Office Protocol
A standard mail server commonly used on the Internet. It provides a message store that holds incoming e-mail until users log on and download it. POP3 is a simple system with little selectivity. All pending messages and attachments are downloaded at the same time. POP3 uses the SMTP messaging protocol.
 
Mail Relay
The use of a mail server from a connection outside of the immediate network. Open Mail Relays are the source of most originating junk e-mail.
 
MX Record Mail Exchange Record.
A DNS resource record type indicating which host can handle electronic mail for a particular domain. Mail client An e-mail program that resides in the user's computer and has access to mail servers on the network.
